Why CME Scheduling Is Hard (and How to Make It Work)

Though parts of the CME process like retrieving records or waiting for a final report can take time, scheduling is where defense teams lose the most time — and probably the most sleep. Ask any paralegal or legal assistant and they'll tell you how painful this can be…
Here's why it's harder than it looks, and what actually fixes it.
Not just any doctor will do. You need the right specialty for the injury, available on your timeline, and ideally in a county that won't trigger a large travel fee. Each requirement radically shrinks the list of viable physicians.
The doctors are generally not building their calendar around your case. The credible experts — the ones you really want — run busy clinical practices and have other major obligations. Medical-legal exams are often an ancillary workstream they fit in around patients, surgeries, conferences, and the demands of running a practice. If you're unknown to them (or even have a lukewarm relationship), you're competing for attention that is quite stretched.
You can't see their availability. Call or email a doctor's office cold and you have no idea whether they even do medical-legal work, how booked they are, or if they are even the right fit. There’s no telling whether a response will come — and if it does, you still have to pin down each doctor's policies and fees, which differ from one to the next (if you get there at all) and may not align with your client’s expectations. All of this can be true even with doctors you’ve worked with before.
The fix: a consistent and reliable connection point. Scheduling stops being painful the moment you find someone on the other side who's already in regular contact with the doctors (triaging multiple requests and tracking their calendars). That connection point keeps your request at the front of the line. And because the relationship spans many doctors across different specialties and counties, matching and booking drops to a day or two instead of two weeks of phone tag.
That connection point is what CaseLynx is built to be. We're in regular contact with our physician panel, have access to their calendars, and handle all the coordination so your team doesn't have to chase any of it. For local cases, we even display many of our doctors' availability right on our portal so you can check it anytime. And our fees and policies are consistent across the panel, so there's no separate rate sheet to decode for every doctor, making things faster for you and to get approval by your client.
